Vizrt hosted the One Vizion Summit, a three-day onsite conference that brought together over 200 employees in person, with hundreds more participating globally through live streaming. The Summit was designed to engage Vizrt’s global workforce, ensuring alignment with the company’s vision, strategy, and goals.

Background

Vizrt, the leader in real-time graphics and live production solutions for content creators, recognized the importance of engaging its diverse workforce spread across more than 37 countries. Traditional face-to-face communication for all employees was impractical due to the company’s size, global footprint, and efforts to be more sustainable, making video the next best tool for reaching and engaging employees.

The One Vizion Summit aimed to unifying the company’s messaging and ensure all employees, regardless of location, were aligned with the organization’s strategic direction.

The Challenge

The primary challenge was ensuring that employees who could not attend the event in person felt equally engaged and connected to the content and messaging as those who were physically present.

As Chris Black, Vizrt’s Head of Brand and Communications, highlights, “One of the biggest challenges for large organizations, especially those like ours with offices in over 37 countries, is ensuring that everyone understands the CEO’s vision and message clearly.”

The company needed to ensure high production quality to maintain engagement and deliver a unified message.

“When running a global company, it’s essential to connect with all employees. While face-to-face interaction is the most effective, it’s not practical for a global organization due to sustainability, cost, and efficiency concerns. Video is the next best option,” says Michael HallĂ©n, CEO, Vizrt. “We use video frequently to enhance our storytelling when we talk to our employees, whether it’s about our corporate goals and objectives, launching new products, or whatever it is. Video is crucial and I believe we will use it more and more as we move into the future.”

Delivering High-Quality Video Production Using Innovative Storytelling Technologies

To address this challenge, Vizrt utilized its own advanced video production tools to create a polished, professional event. The company’s approach was multifaceted.

“Our audience is unique because they regularly work with broadcasters and expect a high level of production quality. We couldn’t just show up with a computer and PowerPoint. We need to add some dynamic media to it,” notes Lennie Nelson, Head of Studio, Vizrt.

  • The new Vizrt PTZ3 PLUS Cameras were strategically placed to capture different angles throughout the venue. The cameras provided high-quality images even in low-light conditions. Equipped with presenter tracking technology, the cameras automatically followed the speaker on stage, adding a professional touch to the production without manual camera operation.
  • Viz Flowics, the most comprehensive cloud-native, web-based platform for generating live HTML5 graphics from anywhere, was used to create and control on-screen graphics, web-based digital signages, and live data integration. The system enabled seamless display of lower thirds, titles, attendees’ information and real-time questions from both in-person and virtual participants.
  • Augmented reality (AR) elements were added using Viz Virtual Studio Go, the world’s first, fully equipped AR Graphics and Virtual Studio in a box. The integration of AR provided an immersive experience for the audience.
  • TriCaster ® 2 Elite served as the central component for producing the hybrid event. This award-winning media production system managed video feeds from multiple cameras, live video switching, streaming, and recording of sessions for on-demand access. Graphics from Viz Flowics and remote presenters via Microsoft Teams were also integrated into the system.
  • The TriCaster® Flex Control Panel was used to remotely reposition the Vizrt PTZ3 PLUS Cameras and adjust the zoom levels. The panel also enabled the control of audio connections, audio and video mixing, and talkback via NDI.

Seamless Integration with Venue Infrastructure to Elevate Production

Vizrt successfully integrated its technologies with the venue’s existing infrastructure to elevate the production value. A detailed wiring diagram was created to plan signal flows and ensure flawless integration of all technology components. This was essential for managing the complex setup, which included projectors, downstage and upstage monitors, digital signages, PowerPoint presentations, audio mixing, and a virtual studio.

Achieving Hybrid Engagement with Dynamic Content Delivery

The Summit was live-streamed to remote employees, who could interact with the event through tools like Microsoft Teams. This setup allowed for live feedback and questions, creating a two-way communication channel that made remote viewers feel included and engaged.

The event included video playback, live graphics, and instant switching between different media formats. This dynamic content delivery was crucial for maintaining engagement and ensuring the audience, both onsite and remote, received a consistent and high-quality experience.

The Impact

The One Vizion Summit was a success, effectively engaging Vizrt’s global workforce and ensuring alignment with the company’s strategic goals. By carefully planning the production setup and workflow, leveraging advanced production tools, and prioritizing audience engagement, Vizrt was able to deliver a polished and professional event that resonated with its employees.

As a result, the company saw favorable feedback in the post-summit survey where employees rated the value and the video quality of the live stream a 4.2 out of 5. Some of the feedback employees had given were:

  • “Planned to perfection. I found all the presentations excellent and informative.”
  • “Watching the live stream from my home office made me feel included as if I were physically present at the event.”
  • “Sound and video quality was perfect, very professional. It was terrific!”
  • “It was a great experience overall. I think it was perfect.”
